Our team is growing and currently looking for a sales assistant for our sales department in Pasadena. JOB SUMMARY: The sales assistant is primarily responsible for supporting all areas of the business to achieve overall sales goals, growth, and profitability. REPORTING RELATIONSHIP: The sales assistant reports directly to the department head and account executives. ESSENTIAL DUTIES AND RESPONSIBILITIES: Essential duties and responsibilities include, but not limited to: Answering telephone sales lines, transferring calls or taking detailed messages if necessary; Retrieving, confirming, processing, and revising all purchase orders; Keeping track of order status, producing documents for accounting, and communicating any shortages or issues with shipments; Entering orders manually in EDI platforms and internal sales system; Processing email/manual orders and revisions taken by sales manager and/or managing communication directly with customers; Coordinating customer orders with director and packinghouses, as appropriate; Reviewing, confirming, and creating all required shipping documents; Coordinating and communicating with transportation manager for delivered orders and verifying transportation rates / calculating FOB and delivered pricing for specific customers; Creating sales reports and track sales data as necessary; Tracking, reviewing, and processing claim files when an issue arises; Acting as liaison between customers and sales management and/or packinghouses; Coordinating events and activities in collaboration with Sales, Marketing and Category Development; Communicating availability, pricing structure, sales / marketing strategies and opportunities to customers as needed; Collecting, extracting, analyzing, & resolving any issues with arrivals / accounts receivables for accounting; Reconciling EDI issues; Establishing and maintaining quality customer service for all major retail chains in an effort to achieve more sales and overall growth in business relationships; Maintaining a safe and professional work area; Representing Sun Pacific in an ethical and business-like professional manner in all interactions with customers, suppliers, co-workers, and the business community at large; and, Providing professional customer service in a fast-paced environment, with a focus on process improvement and contribution to improving teamwork and workflow. DESIRED QUALIFICATIONS: A minimum of 2 years’ experience in customer service position with high volume activities, requested; High school diploma or a GED equivalent from a certified school, required; Produce industry experience strongly desired; Detail-oriented, specifically with respect to data and records keeping activities; Highly motivated, pro-active self-starter with the ability to solve problems in a resolute manner; and, Strong written and verbal English communication skills. Bilingual in English/Spanish a plus. SKILLS, KNOWLEDGE, AND ABILITIES: Proficiency in MS Office (Word, Excel, Power Point, etc.) strongly encouraged; Strong organizational and planning skills; Ability to efficiently communicate with retail and wholesale customers; and, Ability to manage accounts effectively to meet targets and deadlines.
