Purpose:  The Business Operations Associate has the responsibility to manage orders daily. They are the key link in communication with our customers for order/inventory questions. The business operations associate responsibilities include performing administrative tasks, assisting other company departments as needed, and ensuring smooth daily operations. The business operations associate is the primary point of contact for all our Yuma, AZ operation activities. 

Essential Duties and Responsibilities:

Order Management

  • Acquire familiarity with our products and suppliers; develop a positive working relationship with all staff, vendors, and customers
  • Manage bookings/PCAs in collaboration with sales representatives
  • Work with A/R to maintain accurate customer files
  • Order processing from sales representatives, customers, and dealers (including international backup)
  • Create invoices, email and/or mail to customers
  • Create and maintain customer account data (addresses/payment terms, etc.) and update salesman information for commission reporting
  • Support customers with food safety documentation

Administrative Duties

  • Manage and coordinate Warehouse / Office functions and repairs.
  • Handle all incoming telephone calls and visitors
  • Prepare, distribute, and maintain incoming and outgoing correspondence (including but not limited to US mail, facsimiles, express courier, and deliveries)
  • Order office and site supplies
  • Coordinate needs for company meetings such as conference room set up, presentation handouts, meals, and travel arrangements for visiting team members.
  • Assist with site reporting and maintaining our company safety program in compliance (monthly accident information, annual CSR data collection, etc.)
  • Assist HR as needed
  • Direct daily activities with sales, warehouse, and LPP as needed
  • Forward all legal contracts to head office for Manager approvals
  • Assist with organizing open days/platforms at the direction of PD Manager


  • Work closely with the Supply Chain Team (WH, QA, OP)
  • Assist with customer deliveries when needed

Secondary Duties

  • Support all Supply Chain duties as needed


  • Computer skills (working knowledge of MS Word, Excel, Internet, E-mail)
  • Minimum 2 years’ customer service and or planning experience preferred
  • Experience with preparing documents (phytosanitary certificates, certificates of origin) preferred
  • Prior experience and working knowledge of seed industry desirable but not required
  • Spanish speaking a plus
  • Forklift Experience a plus (onsite training available)
  • Experience with ERP system is preferred
