Job description


This position manages the company’s main lobby reception area demonstrating superior customer service and as a member of the HR team will assist with any administrative support as requested.


  • Greets, directs and announces visitors, including vendors, clients, job candidates and customers ensuring accurate sign in/out and identification process in a professional, courteous, friendly manner;
  • Assign and track badges for all customers, visitors, and guests accompanied by an employee beyond the front lobby;
  • Act as the office gatekeeper to ensure all lobby safety protocols are adhered to by all employees, customers, visitors and guests;
  • Operates a 10-line telephone to receive incoming phone calls and directs callers to appropriate extensions in a professional, courteous friendly manner;
  • Responsible for over-the-counter product, marketing and promotional sales at front desk;
  • Administer and facilitate the artichoke bin & over the counter sales;
  • Act as the office gatekeeper to ensure all lobby safety protocols are adhered to by all employees, customers, visitors and guests;
  • Maintains and confirms availability for conference rooms in Microsoft Outlook;
  • Sort, distributes and process incoming and outgoing mail, (i.e. Federal Express, UPS & certified mail); maintain shipping supplies;
  • Ability to use a fax machine, printer/copier, and postage meter;
  • Maintain storage key sign in/out log;
  • Handles special administrative tasks for the human resources department, as well as overflow tasks from various departments;
  • Serve as a member of the emergency evacuation committee, participate in evacuation drills;
  • Works closely with the Accounting Department to place periodic office supply orders per order list supplied by Accounting; must be cost conscious when placing orders;
  • Maintain and distribute updated company directory monthly;
  • Other duties as assigned.


  • Minimum AA or AS degree from an accredited college.
  • Minimum experience of 3 years in a corporate reception or similar role, required;
  • Ability to provide exceptional customer service skills is required; ability to speak, read and write in both English and Spanish without assistance is required;
  • Maintain a professional, neat environment at all time and may require to wear appropriate, professional Ocean Mist Farms attire at various times;
  • Advanced software skills are required including the ability to type at least 50 Words per minute, including Microsoft Office suite applications, (i.e., Word, Excel, PowerPoint, Outlook) is required;
  • Basic understanding of internet research tools is required;
  • Strong verbal and written communication skills; ability to carry out defined procedures with specific instructions;
  • Ability to be able to multitask and answer telephones in a timely manner.
  • Ability to manage tasks from its initiation to completion with minimal supervision;
  • Ability to maintain effective working relationships with customers, supervisors, employees and peers.
  • Able to work Saturdays from 7:00 AM– 10:00 AM, on a rotating schedule.
