Job description

REPORTS TO: Automated Harvesting DOT Manager        

BASIC FUNCTION: The DOT Administrative Assistant is primarily responsible for the collection, organization, data entry, and filing of all DOT related documents, and assisting DOT Manager with other duties as needed.

Essential Duties for the DOT Administrative Assistant include, but are not limited to the following:

  • Arrive to work each day enthusiastic, on time, and ready to do the best job possible.
  • Ask questions to clarify instructions and understand the nuances of the assigned duties.
  • Organize paperwork, records, files, and task schedule efficiently.
  • Enter data into Excel spreadsheets, databases, or other computer programs as needed.
  • Perform administrative responsibilities and tasks thoroughly and consistently
  • Ensure periodic maintenance inspections are being conducted on a timely manner.
  • Update maintenance inspection completion dates in Fleetmentor and file the paper copy.
  • Assist in the dispatching of Class ‘A’ drivers as needed.
  • Maintain clear communication with DOT Manager, dispatcher, truck drivers, & DOT maintenance department.
  • Run errands and deliver documents to other departments as needed.
  • Perform duties according to the company’s safety standards and preferred procedures.
  • Communicate, cooperate, and collaborate with managers and co-workers with professional respect.
  • Participate in safety trainings, orientations and all other company meetings as required.
  • Report all injuries to supervisor immediately regardless of how slight they might seem.

Requirements / Qualifications:

  • Ability to travel with the company from Salinas, CA. to Yuma, AZ.
  • Bi-lingual required (proficient in both Spanish/English)
  • Valid U.S. driver’s license and clean DMV print out
  • Intermediate skills in Microsoft Office, advanced skills in Excel preferred
  • Computer & technology oriented with enthusiasm for learning new technologies
  • Mature and professional communication skills both oral and written
  • Detail oriented with a strong sensibility for accuracy
  • Ability to sit, work in an office environment, walk to printers, mailbox, file cabinets, shop and other offices
  • Willingness to follow oral and written instructions and capable of writing legibly
  • Flexibility to work 6 days a week and long hours when needed
